This comprehensive guide walks you through setting up an end-to-end carton tracking workflow: from generating hundreds of shipping codes in Google Sheets™ to printing physical labels and scanning packages upon arrival to prevent loss.
Step 1
Install ScanTrack from Google Workspace Marketplace™
- Open any Google Sheets™ spreadsheet or visit the Google Workspace Marketplace™ Listing.
- Click Install and approve the minimal OAuth permissions:
spreadsheets.currentonly (Accesses strictly the active spreadsheet).
script.container.ui (Displays the scanner sidebar and bulk dialog).

Step 2
Initialize the Tracking Template (1-Click Setup)
- In Google Sheets™, navigate to the top menu: Extensions ➡️ ScanTrack: Bulk QR code & Barcode Delivery Tracker.
- Click 📋 Initialize Tracking Sheet (Sample).
- ScanTrack will automatically configure a professional tracking sheet with pre-configured columns:
[A] Tracking ID | [B] Item Description | [C] Quantity | [D] Destination / Recipient
[E] Barcode / QR Code | [F] Delivery Status | [G] Arrival Timestamp | [H] Received By / Station | [I] Notes
- Automatic conditional formatting is applied immediately:
- 🟢 Delivered: Bright green highlight
- 🟡 In Transit: Warm yellow alert
- 🔵 Pending: Clean blue indicator
- 🔴 Flagged / Missing: Red high-priority warning
Step 3
Bulk Generate QR Codes or Barcodes into Spreadsheet Cells
- Click 🏷️ Bulk QR Code Generator or 📊 Bulk Barcode Generator from the Extensions menu.
- Map your columns:
- Code Content Column: Column [A] Tracking ID
- Optional Sub-label Column: Column [B] Item Description
- Save Image Column: Column [E] Barcode / QR Code
- Select your code style:
- Barcode Standards: CODE128 (universal shipping), EAN-13, CODE39, UPC, or ITF-14 (carton boxes).
- QR Code Standards: Choose between Raw Package Code (for scanner guns) or Smart Mobile Check-in URL (allowing driver phone camera scans).
- Click Save Codes to Sheet. High-resolution images will be batch-inserted directly into spreadsheet cells using Google Sheets' native
newCellImage() API.
Step 4
Print Carton & Shipment Labels (PDF / Direct Print)
- From the Extensions menu, select 🖨️ Print / PDF Shipment Labels.
- Choose your preferred physical paper format:
- A4 Sticker Paper (2x4): 8 large shipping carton labels per sheet.
- A4 Sticker Paper (3x7): 21 compact parcel labels per sheet.
- Thermal Label (4x6" / 100x150mm): Standard logistics thermal rolls.
- Preview your labels and click Print Now (or press
Ctrl + P) to print labels ready to attach to physical boxes before shipping.
Step 5
Scan Packages Upon Arrival at Destination (3 Scanning Modes)
When shipments arrive at the destination warehouse, delivery dock, or retail branch, use any of the three scanning modes to confirm receipt:
- Mode A: Built-in Live Camera Scanner (Sidebar):
Open 📷 Live Barcode & QR Scanner in Google Sheets™. Click "Start Camera" and point your laptop webcam or external USB camera at the carton label. The laser targeting viewfinder automatically decodes the code.
- Mode B: Handheld Barcode Scanner Gun (USB / Bluetooth):
Switch to "Scanner Gun" mode in the sidebar. Scan boxes in rapid succession. Handheld scanners automatically transmit the tracking ID and press Enter, updating rows in under 0.5 seconds per carton!
- Mode C: Smartphone Camera (Mobile Web Check-in):
If drivers or receiving staff do not have a laptop on hand, they scan the carton's Smart QR code with any iPhone or Android camera. A mobile verification page opens instantly with a 1-tap "Confirm Delivery" button that updates Google Sheets™ remotely.

Step 6
Live Dashboard & Anti-Loss Audit
As cartons are scanned, watch your spreadsheet update in real time:
- Delivery Status switches to Delivered.
- Exact arrival date and time are timestamped in Column [G].
- Receiving dock or personnel name is stamped in Column [H].
- The Scanner Sidebar live counter tracks Total Cartons, Delivered, and Pending so you immediately spot missing packages.
